1. Who Is Responsible For Your Information?

Judy Green is responsible for deciding how and why personal information relating to her website and services is used and is therefore the data controller for that information.

2. What This Policy Covers

This policy applies when you:

  • visit judygreen.life;
  • contact Judy by email or telephone;
  • arrange or attend a Chemistry Call;
  • book Life Coaching or Mentoring;
  • take part in the Live Free Structured Programme;
  • communicate with Judy before, during or after a service; or
  • otherwise provide Judy with personal information.

3. Personal Information Judy May Collect

The information collected depends on how you interact with Judy and which service you use.

Contact & Identity Information

This may include:

  • your name;
  • email address;
  • mobile or telephone number;
  • information contained in an enquiry or message;
  • appointment and scheduling information; and
  • records of communications with Judy.

Service Information

If you become a client, Judy may also process information required to arrange and provide Life Coaching, Mentoring or the Live Free Structured Programme.

This may include information about your goals, circumstances, progress, agreed actions and information you choose to discuss during the course of the service.

Payment & Administration Information

Judy may keep information relating to payments, invoices, bookings, cancellations, correspondence and other records required to administer her services and meet business, tax, insurance or legal obligations.

Website Information

The website or its hosting and security systems may automatically process limited technical information, such as:

  • IP address;
  • browser or device information;
  • server and security logs;
  • pages or resources requested; and
  • information required to protect and operate the website.

Please see the Cookie Policy for further information about cookies and similar technologies.

4. Sensitive & Special Category Information

Because some of Judy’s services relate to recovery, alcohol and substance use, a client may provide information that reveals details about their physical or mental health.

This may amount to special category personal data under UK data protection law and receives additional protection.

Judy will only intentionally collect or retain this information where it is relevant and necessary for the service being provided.

Where special category information is required to provide a service, Judy will identify both an appropriate lawful basis for processing and an additional condition permitting the processing of special category data.

Where appropriate, this may include obtaining the client’s explicit consent to process relevant health or recovery information.

Clients will not be asked to provide more sensitive information than is reasonably necessary.

5. Why Judy Uses Personal Information

Responding To Enquiries

Judy uses contact details and enquiry information to respond to questions, discuss services and take steps requested by an individual before entering into a service agreement.

The lawful basis may be taking steps at your request before entering into a contract and Judy’s legitimate interests in responding to genuine enquiries and operating her business.

Arranging Chemistry Calls

Contact and scheduling information is used to arrange Chemistry Calls and communicate with you about the appointment.

This processing is normally necessary to take steps at your request before potentially entering into a service contract.

Providing Paid Services

Information required to arrange and provide Life Coaching, Mentoring or the Live Free Structured Programme is normally processed because it is necessary to perform the service contract with the client.

Payments, Accounts & Business Records

Payment and administrative information may be used to manage accounts, maintain business records and comply with applicable tax, accounting or legal obligations.

The lawful bases may include performance of a contract and compliance with a legal obligation.

Website Security & Administration

Limited technical information may be processed to operate, maintain, troubleshoot and protect the website.

This is normally based on Judy’s legitimate interests in operating a secure and reliable website.

Complaints, Insurance & Legal Matters

Information may be retained or used where reasonably necessary to respond to complaints, deal with an insurance matter, establish or defend legal rights, meet safeguarding responsibilities or comply with legal obligations.

6. Microsoft Teams

Judy provides online sessions using Microsoft Teams.

Microsoft may process information necessary to provide its communication platform in accordance with its own privacy arrangements.

Judy may use your name, email address and appointment information to arrange and provide the online session.

If a session were ever to be recorded, this would be addressed separately before recording takes place. Participation in an ordinary Teams session does not itself mean that Judy will record it.

7. WordPress, Hosting & Website Providers

judygreen.life is built using WordPress and relies on website hosting, security and technical services.

Providers involved in operating and protecting the website may process limited personal information on Judy’s behalf where necessary to provide their services.

Judy will only use providers where there is an appropriate reason for doing so and will periodically review the services used by the website.

8. Who Personal Information May Be Shared With

Judy does not sell personal information.

Personal information may be shared only where reasonably necessary with organisations or people such as:

  • website hosting and security providers;
  • email and communication providers;
  • Microsoft where Teams is used;
  • payment or accounting providers where applicable;
  • professional advisers, insurers or legal advisers where necessary;
  • regulators, courts, law enforcement or other authorities where disclosure is legally required; and
  • appropriate organisations where disclosure is reasonably necessary in connection with a serious safeguarding matter.

9. International Processing

Some technology providers used to operate the website or provide communication or other services may process information outside the United Kingdom.

Where personal information is subject to a restricted international transfer, Judy will take reasonable steps to ensure that an appropriate UK data-protection transfer mechanism or safeguard applies.

This may include reliance on UK adequacy regulations or approved contractual safeguards used by the relevant service provider.

10. How Long Information Is Kept

Judy will not keep personal information for longer than it is reasonably required for the purpose for which it was collected.

Enquiries That Do Not Become Clients

Basic enquiry and correspondence information will normally be reviewed for deletion after approximately 12 months where there is no continuing reason to retain it.

Client & Administrative Records

Contract, payment, invoice and relevant administrative records may normally be retained for up to six years after the end of the client relationship where this is reasonably necessary for tax, accounting, insurance, complaints or legal purposes.

Coaching, Mentoring & Recovery Information

Notes or records containing sensitive personal information will be kept only for as long as Judy has a legitimate and necessary reason to retain them.

Because this information can be particularly sensitive, it should be reviewed regularly and securely deleted or anonymised when it is no longer required.

Retention periods may be extended where information must lawfully be kept for longer, for example in connection with a complaint, insurance matter, safeguarding concern or legal claim.

11. Security

Judy takes reasonable organisational and technical measures to protect personal information from unauthorised access, loss, disclosure, alteration or misuse.

Measures may include appropriately secured accounts, password protection, access controls, secure website connections, software updates, backups and limiting access to information to those who genuinely require it.

No internet or electronic storage system can be guaranteed to be completely secure, but reasonable steps will be taken to reduce privacy and security risks.

12. Your Data Protection Rights

Depending on the circumstances and the lawful basis being used, you may have rights including:

  • the right to ask for access to personal information held about you;
  • the right to ask for inaccurate information to be corrected;
  • the right to request deletion of information in certain circumstances;
  • the right to request restriction of processing in certain circumstances;
  • the right to object to certain processing;
  • the right to data portability where applicable; and
  • the right to withdraw consent where processing is based on consent.

Not every right applies in every situation.

To exercise a data protection right, please contact Judy using the details provided in this policy.

13. Your Right To Object

Where Judy relies on legitimate interests to process your personal information, you have the right to object to that processing in certain circumstances.

If you wish to object, please contact Judy and explain the processing you are concerned about.

14. Withdrawing Consent

Where Judy relies on your consent, including explicit consent where applicable to special category information, you may withdraw that consent.

Withdrawal of consent does not affect the lawfulness of processing that took place before the consent was withdrawn.

If information is genuinely required to continue providing a particular service, withdrawing consent may mean that the relevant service can no longer continue.

15. Automated Decision-Making

Judy does not use solely automated decision-making or profiling that produces legal or similarly significant effects on clients.

Decisions about suitability for Judy’s services and the way she works with a client are made personally, rather than by an automated system.

16. Complaints

If you have a concern about the way your personal information is being handled, please contact Judy in the first instance so that the matter can be investigated.

You also have the right to raise a complaint with the Information Commissioner’s Office (ICO), the United Kingdom’s data protection regulator.

17. Cookies

Information about cookies and similar technologies used by this website is provided separately in the Cookie Policy .

18. Changes To This Privacy Policy

This policy may be updated when Judy’s services, technology providers, website functionality or data-processing practices change.

The date at the top of this page indicates when this version was last updated.

The policy should also be reviewed before introducing new services such as website analytics, advertising technology, embedded booking tools, payment systems or other functionality that changes how personal information is processed.

19. Contact Judy
